HR & Admin Executive

Your mission
We are seeking a detail-oriented HR & Admin Executive to lead our day-to-day human resources functions and provide administrative support to our Finance department. This role is essential for maintaining the operational health of our international team, serving as the primary point of contact for employees in Portugal, Malta, Brazil and other countries. The ideal candidate will be a proactive problem-solver capable of managing a high volume of diverse administrative workstreams with precision and confidentiality.
Responsibilities
  • Full-Cycle HR Administration: Drive the full employee journey, from strategic recruitment and onboarding to performance management cycles and offboarding

  • Legal & Regulatory Compliance: Manage all legal procedures, social security registrations, and employment documentation in accordance with Portuguese and Maltese labor laws.

  • Employee Support: Act as the primary point of contact for all employee queries, providing direct support for administrative, policy, or workplace-related problems.

  • Finance Support: Perform monthly bank reconciliations, process company invoicing, and handle ad-hoc financial administrative tasks as required by the team.

  • International Administrative Coordination: Manage the administrative workflows for the Brazil-based team, including salary data coordination, benefit updates, and local documentation.

  • Workspace Management: Coordinate logistics and supplier relationships for co-working spaces in Lisbon and Malta, ensuring facility standards and membership requirements are met.


Requirements
  • Experience: 3+ years in a Generalist HR role with exposure to finance or business operations.

  • HR Expertise: Proven experience managing performance cycles and recruitment workflows within an international context.

  • Technical Proficiency: Strong command of MS Excel and experience with HRIS and cloud-based accounting/invoicing software.

  • Regulatory Knowledge: Familiarity with Malta’s administrative framework is highly desirable.

  • Communication: Full professional proficiency in English is mandatory. Portuguese is a highly appreciated
